Action in Montgomery (AIM) is hiring for an Administrative and Operations Director

Job Description
AIM is a dynamic organization that helps deliver real change for people in their day to day lives. We are looking for an Administrative and Operations Director who can create and manage systems to run the internal aspects of the organization. This vital position will support the organization to find ways for us to use our staff and resources effectively and allow us to have a bigger impact in our community and state. We are looking for someone who can thrive working with a diverse team, and who can both see the big picture and manage the details needed to reach our goals. We are a growing organization with lots of opportunity for staff growth and development.
Key responsibilities:
Manage Billing and Finances: Payroll, contract management, working with Board Treasurer and Accounting Firm.
Grant management and reporting: Track grant deadlines, write first drafts of all grant proposals and reports, manage grant calendar and timelines.
Some aspects of Board engagement, including: staffing board meetings, collecting reports from colleagues to include in board materials, creating and finalizing board materials, creating annual board meetings, sharing reports from meetings of board committees.
Planning and organizing staff development with supervisory staff.
Management of HR systems: Employee screening, onboarding, and personnel policies.
Long range planning and scheduling for the organization’s priorities.
Taking notes and sharing information in key strategy meetings for the organization
Supervision of an administrative assistant.
What You Bring:
Strong interpersonal skills to work with a diverse team of staff, leaders, and volunteers
Skill with different computer software–Quickbooks, bill.com, Google file management, Microsoft Excel, aptitude to learn new software
Strong writing and communication skills
Ability to work independently
Strong attention to detail and ability to manage multiple priorities at the same time
Opportunity for team growth–we are a growing organization looking to hire additional administrative support (this position would supervise them), and to train and develop volunteers to help with the work
Fluency in Spanish a strong plus
Compensation & Benefits:
Salary is based on experience, starting at $60,000 for candidates with less than 2 years of relevant work experience and up to $90,000 for candidates with several years of relevant work experience.
40 to 45 hour work weeks including some evening and weekend commitments.
4 weeks of paid time off annually; additional paid holiday leave; compensatory time off options available.
403(b) retirement fund with 15% employer contributions and no match requirements after 12 months of employment.
Up to $10,000 each year towards health insurance premiums, paid by AIM.
Monthly stipend towards internet, phone; as well as gas mileage reimbursement for work-related travel by car.
Physical Demands
Ability to use a computer for a majority of the work week.
Ability to have multiple phone calls a day.
Ability to do repetitive tasks as needed on a computer.
Work Environment
This position is full time 40 to 45 hour work weeks including some evening and weekend commitments.
This position is hybrid in Maryland with the expectation to come into the Takoma Park office and do meetings in Montgomery County Maryland at least once a week.
